April to June The ideal window. Everything is available, brand colour matching is straightforward, and there is enough time to sample, approve artwork properly and make changes without anything being rushed.
July to September Still a strong position. Most formats and colours are open, lead times are comfortable, and you can plan your delivery for whenever suits your campaign. Most organised buyers land here. If you are reading this in this window, you are in good shape, and it is worth getting a quote in now rather than letting it drift.
October Stock is already becoming limited. The most popular formats and the most requested cover colours start closing out first. You can still put together something strong, but the choice is narrowing and substitutions start creeping into conversations.
November Choice narrows sharply. This is when we start having to offer alternatives rather than first choices. Brand colour matching gets difficult. Prices for what remains may be higher because the best value options go first.
December Choice is very limited by this point, and lead times are tight enough that a pre new year delivery cannot be guaranteed. That said, it is always worth asking. We hold good relationships with our suppliers and can often still find something that works, particularly if you are flexible on format or colour. The honest position is that we cannot promise you first choice this late in the year, so if December is where you are, get in touch quickly and we will tell you straight away what is realistically achievable.
The pattern is the same every single year. The earlier you commit, the more control you keep over format, colour, budget and delivery date. There is no version of this where waiting improves the outcome.

What being late actually costs you
It is worth being specific about what “limited stock” means in practice, because it rarely means you get nothing. It means you get compromises, and the compromises stack up:
- Brand colours go first. Corporate blues, blacks, greys and greens are the highest demand covers. When they close out, you either move to a colour that sits oddly next to your brand or you drop colour matching altogether.
- Format choice narrows. Week to view and day per page in the most popular sizes move fastest. Late buyers often end up with a format that does not suit how their audience actually works.
- Budget gets pushed. When the value lines are gone, what remains sits higher up the range. Companies regularly end up spending more than they planned for something they wanted less.
- Branding options reduce. Foil blocking, debossing and personalisation all need lead time. Late orders often get pushed towards the fastest available branding method rather than the best one for the finish you want.
- Delivery gets tight. If the plan was to hand these out at a Christmas event or post them before the break, a late order removes any margin for error.

Artwork, branding and finish
Branding on diaries is usually a cover application, and the method changes the feel of the finished product considerably. Foil blocking gives a sharp metallic finish that suits premium client gifting. Debossing presses your logo into the cover material for something more understated and tactile. Screen printing and digital printing open up full colour where your logo needs it.
For artwork, vector files are ideal, usually EPS or PDF, with fonts outlined and any Pantone references included so colour matching is exact. Higher resolution raster files can work depending on the branding method. If your artwork is not in a usable format, that is a normal situation and not a problem.
